An exceptional Workplace Coordinator is sought to join our Austin office in a part time capacity (30+ hours per week). We are looking for a self-starter and team player who will thrive in a close-knit office and challenging trading environment. The ideal candidate will be proactive, collaborative, resourceful, responsible, and committed to building relationships across the business.

What You’ll Do:

  • Responsible for reception and conference room coordination including answering phones, greeting of guests, badging, general office maintenance and day-to-day facility operations
  • Assist with meeting room set ups and technology; periodically assist the tech services team with workspace planning and desk set ups for new employees/visitors
  • Coordinate with Workplace Services catering partner to receive food orders and communicate meal status with the office
  • Serve as the primary point of contact for building engineers and facilities vendors; maintain physical appearance of office and ensure all facilities are in working order; communicate with building engineers or appropriate vendors to handle any repairs or other requests
  • Manage preventative maintenance schedule for all facilities appliances (coffee & water machines, refrigerator, dishwasher, etc.).
  • Support in stocking office and kitchen supplies
  • Assist with all shipping/receiving needs office-wide
  • Order and assemble furniture as needed
  • Provide admin support - providing invoices to Accounting or cross checking office and event spends and helping reconcile company credit card transactions.
  • Special projects/event planning for business or office-related activities as assigned
  • Provide support to other teams within the People Operations function as needed, such as ensuring a seamless process for interviews or new hire onboardings
  • Other duties as assigned or needed

Skills You’ll Need:

  • At least 2 years' experience in an office administration/support role or facilities
  • Minimum education of Bachelors' Degree
  • Strong knowledge of Outlook, Word, Excel and PowerPoint
  • Strong organizational and time management abilities
  • Prioritization skills and ability to work independently
  • Reliable and predictable availability
