Title: Document Migration Specialist
Role type: Temporary Contract - 2 month initial term then rolling monthly thereafter

About the role:
We are seeking a detail-oriented and organized person to help us migrate files from our existing document management system to a new system. Your primary focus will be on ensuring accurate and efficient transfer of files, maintaining data integrity, and ensuring a seamless transition for our users.
- Review and understand the file structure and organization of the existing document management system.
- Collaborate with stakeholders to identify the files and documents that need to be migrated.
- Extract files from the current system and organize them according to the new system's structure.
- Carefully transfer files into the new document management system, ensuring accuracy and completeness.
- Verify data integrity by comparing migrated files with the originals and resolving any discrepancies.
- Conduct quality checks to ensure that metadata and indexing information are correctly assigned to migrated files.
- Monitor the progress of the migration process and provide regular updates to the team.
- Collaborate with IT and other relevant departments to troubleshoot any technical issues that may arise during the migration.
- Provide training and support to users in navigating and accessing files in the new system.
- Document the migration process, including any challenges encountered and solutions implemented.
- High attention to detail and excellent organizational skills.
- Proficient in (or capable of learning) document management systems.
- Strong understanding of file organization and metadata management.
- Ability to work independently and meet deadlines.
- Strong problem-solving and troubleshooting skills.
- Effective communication skills to collaborate with stakeholders and provide user support.
- Previous experience with data migration projects would be an advantage but not required.
- Prior knowledge of the new document management system is a plus.
