We are currently looking for an Accounting/Administrative Assistant to join our Chicago-based Family Office team. In this role, you’ll provide comprehensive administrative support services to those on the Family Office team as well as contribute to other ad-hoc projects and initiatives, as needed.

What you’ll do:

  • Provide full range of administrative support for the Family Office team
  • Field and respond to all maintenance repair calls/ requests
  • Act as an initial point of contact for all tenants
  • Manage utility accounts
  • Receive and upload all utility invoices, record payment entries into the general ledger
  • Maintain schedule of lease terminations/update leases/ensure timely receipt of rent
  • Open and process all family office mail
  • Sort, label, file, scan and retrieve documents and other materials
  • Manage due dates and shared family office calendars
  • Attend weekly meetings with property managers
  • Process expense reports
  • Reconcile credit card transactions
  • Create and maintain files and record keeping systems
  • Participate in other ad-hoc projects

What’s needed:

  • Previous administrative support experience required; bookkeeping experience preferred
  • Strong written and verbal communication skills
  • Excellent organizational skills and strong attention to detail
  • High level of proficiency with Microsoft Outlook Calendar, Excel and Word; experience with QuickBooks & Expensify preferred but not required
  • A customer service-oriented approach
  • Maturity: proven ability to handle confidential information with the utmost discretion
  • Proven ability to multitask, prioritize and take direction from multiple sources
  • Bachelor’s degree (preferred – but not required)
