As part of the global HR Operations team and reporting to the HR Operations Manager, the HR Operations Coordinator is responsible for delivering an effective, efficient and professional operational HR service to the business, ensuring delivery against SLA’s ad providing first level support, escalating appropriately and ensuring SLA’s are met with the highest levels of customer service. As a

Principal Responsibilities:

  • Employee Inquiries: Regularly reviews and resolves all HR queries providing first level support and escalating issues appropriately . Ensures that SLAs are met whilst delivering a high level of customer service excellence.
  • Employee Lifecycle Support: Support the administrative aspects of the employee lifecycle; as well as provide general HR operational and administrative support to the HR Department. Including but not limited to, probation management, performance management documentation support , job changes and offboarding. As a HR Operations Coordinator, you will use Workday extensively to process these changes.
  • Onboarding and Job Transfers : Drive the new employee onboarding activities, including employment verification and right to work, contract creation, initiating background checks, drafting offer letters and employment agreements, issuing fully- executed contractual agreements and engaging with the candidate.
  • First line HR System Support: Daily engagement within the HR information system (Workday) as well as other applications and reporting tools (DocuSign, Excel, Adobe Acrobat, Shared Drive, and vendors involved in our processes). Includes performing first level process and technical support and escalates issues appropriately. Responding to employee queries regarding Workday navigation, data requests, benefits, etc. and keeping employees and managers data up to date, initiating processes, loading data, and facilitating process completion
  • Payroll and Benefits: Payroll and Benefits: Support payroll processes and administration of employee benefits.
  • Stakeholder Liaison: Liaise with HR Business Partners to ensure coherency in the preparation for new hires and maintain best practices for consistency across sectors (Payroll, IT, Facilities, Legal, Compliance, etc.)
  • Record Keeping and Data Management: Create and maintain accurate employee-related data and coordinate collection and verification of candidate, pre-employee, and employee information. Review, audit and ensure integrity and compliance of transactional data in Workday HCM (and other HR applications) including new hires, transfers, data changes and terminations. Ensure a path to resolution when discrepancies are identified.
  • Reporting: Generate standardized workforce reports and analytics to provide insights into metrics, such as headcount, joiners, movers leavers, employee demographics, etc. Gatekeeping the global as well as regional HR Pipelines and update in real-time for accurate reporting.

Skills and Experience Requirements:

  • Proven experience within HR Administration, or People/HR Operations at at similar level
  • Degree or equivalent in Business, Human Resources or another related field desired but not essential
  • HR Systems experience desired, ideally Workday (from a day to day HR transactions perspective)
  • Familiarity with ticketing systems for HR e.g. ServiceNow, Jira
  • Familiar with the onboarding and leaver processes. Preparing offer paperwork, managing induction processes and conducting post-placement and leavers interviews.
  • Knowledge of EMEA employment legislation/ compliance laws and market practices, including immigration, and favourably additional knowledge of other countries (APAC/US).
  • Customer focussed and able to manage conflicting priorities, meeting the needs of different stakeholder groups. Ability to work under pressure and adhere to timescales

  • Demonstrable experience using Microsoft Office Suite including intermediate excel skills required.
